Educatify

Run your courses, classes and training programs with Educatify. Publish a searchable catalog, schedule sessions, and take registrations and payments online. Families get a private portal with student schedules, receipts and balance payments. Partner organizations can book their own students, while your team manages seats, waitlists and attendance.

Educatify Help

Guides for running Educatify: programs, registrations, promotions, reviews and your customers' client portal.

Add bookings to a calendar

Let customers download a class file or subscribe to a private calendar of their upcoming Educatify bookings.

Affiliate institutes (partner portal)

Set up partner institutes that book their own students on your sessions: create the institute, add its users, send the invitation email, and review what they book under the Partner Registrations tab.

Announcements and lesson questions

Post course announcements and answer questions under a lesson, with peer replies off unless you turn them on.

Assignments

Collect homework on an assignment lesson, set a due date, and grade submissions from Needs grading.

Automated emails

Send a timed series of booking, reminder or marketing emails, and follow each registration on its email timeline.

Build your program content

Add modules and text, video, file and link lessons on a program's Content tab, and preview them as a student.

Cancellation requests

Let customers request a cancellation, review it from the dashboard, and release seats when you approve.

Catalog Settings

Configure Educatify for your business: student and program labels, time zone, a registration complete page, course reviews, currency and payment options, and which details the registration form asks for.

Categories

Group programs into categories and subcategories for browsing on your website: create a category, set its image, link, parent and description, control the display order of categories and of the programs inside them, and assign programs.

Certificates and transcripts

Issue a certificate from attendance, a completion mark, or finished online lessons, with optional CEU or PDH credits.

Class dates and attendance

Generate weekly class dates, mark Present, Late, Absent or Excused, and show attendance percentages to parents.

Client portal: course schedule, receipts and paying a balance

What your customers see on the Courses page of their portal: the session schedule for each student, receipts, and how they pay what they owe online.

Client portal: students

The students saved on your customers' accounts: where customers see them, and how they are added and corrected.

Clients

Look after the people who register with you: find or add a client, edit contact details, set their account password, manage the students under each client, and see their registration history.

Company seats

Let a company buy seats, pay, and name attendees later from a manager login.

Connect registrations to Moodle

Connect your Moodle site so confirmed Educatify registrations enrol students and cancellations suspend access.

Course Attributes

Manage your list of course attributes (custom filters such as level, format or length): order, activate or deactivate them, and fill in values for many programs at once with a CSV upload.

Course attributes (custom filters)

Define custom filters for the public course catalog: pick a label and type, set ranges (for numbers), control where the filter appears, and assign values to courses.

Course Browsing and Registration Guide

How customers browse courses and register: multi-course and multi-student carts, choosing which address, guardian, emergency contact and health card details to collect, payment options, and automatic confirmation on online payment.

Course bundles

Sell two or more programs at one price. The buyer picks a session for each course at checkout.

Course information for search services

Public course pages include upcoming session dates, locations, trainers and prices for search services.

Course registration promotions

Detailed guide to course registration promotions: every field, group promotions with Minimum Count, how early-registration and sibling discounts apply automatically, how promo codes combine with them, and how to test a promotion.

Educatify Overview

What Educatify does and where everything lives: the dashboard, registrations, clients and reviews, programs and sessions, promotions, catalog setup, affiliates, and a suggested setup order.

Emailing course registrants with Broadcaster3000

Build a mailing audience from your course registrations - by course, category and timing - that stays up to date by itself.

Embeds

Show a program or a category of programs on any website: where to find the embed codes, the difference between the inline and iframe options, and how to paste them into your site.

Free course registrations

Public registrations whose final total is zero, including a 100 percent promotion, are confirmed right away.

Free lesson previews

Offer selected lessons on the public program page so visitors can preview them before they register.

Grades and progress reports

See quiz, assignment, lesson and attendance scores for a session, set weights, and let families view their grades.

Import a course from Moodle

Copy Moodle sections, pages, files, assignments and student enrolments into an Educatify program.

Lesson quizzes and practice exams

Build a question bank, attach quizzes to lessons, require a pass to continue, and offer random practice exams.

Lesson release schedule

Unlock modules and lessons immediately, a number of days after the session starts, or on a fixed date.

Locations

Keep the physical places where your sessions run. For online classes, choose Online session on the session instead of creating a location.

Memberships for online courses

Let an active membership unlock all online courses, or selected categories, from My learning.

My learning and student progress

Students open lessons from My learning, mark them complete, and parents see progress without the lesson content.

Online Learning setup

What the Online Learning add-on is, where the Content tab is, and how long students can open lessons.

Online session links

Store a Zoom, Meet or Teams link on an online session and show it only to customers with a confirmed registration.

Partner portal guide for affiliate institutes

For partner institutes: how to set up your login, register your own students onto a training provider's scheduled sessions, edit a student name, and cancel a booking from the partner portal.

Partner registrations: several sessions and students at once

How partners book several sessions in one visit, each as a separate registration, and where you review their bookings.

Payment plans, deposits and instalments

Offer full payment, a deposit with a balance due date, or weekly and monthly instalments on a session.

Programs

Create and manage programs (courses): title, code, status and description, then sessions with dates, location, price, early-bird tiers and seat limits, plus fees and add-ons, categories, trainers, attributes, reviews, SEO and embed codes.

Promotions

Set up registration discounts: promo codes, dollar or percent amounts, date windows, early-registration and sibling discounts, group promotions with Minimum Count, and how each one applies at checkout.

Registrations

Find, confirm and manage course registrations: the Pending, Confirmed, Archive and Partner tabs, search and course filter, bulk status changes, CSV download, editing a registration, recording payments, and creating phone-in or walk-in registrations.

Reviews

Collect and moderate student reviews: send review invitations, approve, edit or reject reviews in the Pending, Approved and Rejected queues, and control where approved reviews appear on your website.

Sending registrants to a registration-complete page

Optionally send customers to a separate thank-you page after they register, so your advertising and analytics can count the sale.

Session waitlist

Let people join a waitlist when a session is full, hold a seat when one opens, and manage the line from the session.

Student logins for online lessons

Give each student their own login for programs that have lessons, and resend the password invitation.

Trainer sign-in

Invite a trainer to sign in, see their sessions, and mark attendance without seeing payments.

Trainers

Keep profiles of the people who teach your programs (name, photo and bio), link them to programs, and filter your program list by trainer.

Uploading course attribute values from a spreadsheet

Fill in custom course details such as level, age group or duration for many courses at once with a CSV file, and let visitors filter by them.

Your customers' client portal

What parents and students see in their account on your website (course registrations, receipts, paying a balance, and their students), how they sign in, and what you control from Educatify.
