Educatify Overview

Educatify Educatify Help

What Educatify does and where everything lives: the dashboard, registrations, clients and reviews, programs and sessions, promotions, catalog setup, affiliates, and a suggested setup order.

Educatify runs your course, class or training business from one place. You publish programs, schedule their sessions, and take registrations and payments on your website. Your customers get an account where they see their registrations and can pay a balance, and partner organizations can book their own students onto your sessions.

How to get there

Open Educatify from your admin applications menu. The first page is the dashboard. The Educatify menu gives you every other screen.

The dashboard

CardWhat it shows
RegistrationsConfirmed / Pending registration totals for sessions that have not ended yet. Each registration counts once, even if it contains several students or sessions.
ClientsThe number of clients on your Educatify client team.
ProgramsUpcoming / Archive programs.
Open Date ProgramsPrograms with at least one session that has no end date.

Click a card title to jump to that list. Below the cards, Latest 10 Student Registrations lists your newest registrations: click the ID to open the registration, or the program title to see the program on your website. View All Registrations opens the full list.

  2. If you take card payments online, connect your payment gateway under APIs → Payment Gateways.
  3. Add your Locations and Trainers. Choose a location for an in-person session, or select Online session (no physical location) for an online class.
  4. Create your Categories.
  5. Add your Programs, then add sessions with dates, price and location.
  6. Put your catalog on your website with the embed codes (see Embeds), or ask us if we host your site.
  7. Optional: add promotions, course attributes, and turn on reviews.

What your customers see

Visitors browse your programs, pick sessions, add one or more students and pay at checkout; see Course Browsing and Registration Guide. Afterwards they can sign in to their account on your website to see their registrations, print receipts and pay a balance; see Your customers' client portal.

Newer tools

Find guides for waitlists, online class links, attendance, calendars, payment plans, company seats, cancellation requests, automated emails, trainer sign-in, free registrations and Moodle enrolment in Educatify Help.

Educatify Help also includes Online Learning guides for accounts with that option enabled: lessons, student logins, quizzes, assignments, certificates, grades, announcements, memberships, bundles and importing a course from Moodle.

Feature guides

Each guide explains what the feature does and how to use it. Online Learning guides apply when that optional add-on is enabled on your account. Ask Net3000 to enable background senders and integrations after setup and testing.

Registrations and session operations
  • Session waitlist — Let people join a waitlist when a session is full, hold a seat when one opens, and manage the line from the session.
  • Online session links — Store a Zoom, Meet or Teams link on an online session and show it only to customers with a confirmed registration.
  • Class dates and attendance — Generate weekly class dates, mark Present, Late, Absent or Excused, and show attendance percentages to parents.
  • Add bookings to a calendar — Let customers download a class file or subscribe to a private calendar of their upcoming Educatify bookings.
  • Payment plans, deposits and instalments — Offer full payment, a deposit with a balance due date, or weekly and monthly instalments on a session.
  • Company seats — Let a company buy seats, pay, and name attendees later from a manager login.
  • Cancellation requests — Let customers request a cancellation, review it from the dashboard, and release seats when you approve.
  • Automated emails — Send a timed series of booking, reminder or marketing emails, and follow each registration on its email timeline.
  • Trainer sign-in — Invite a trainer to sign in, see their sessions, and mark attendance without seeing payments.
  • Free course registrations — Public registrations whose final total is zero, including a 100 percent promotion, are confirmed right away.
  • Connect registrations to Moodle — Connect your Moodle site so confirmed Educatify registrations enrol students and cancellations suspend access.
  • Course information for search services — Public course pages include upcoming session dates, locations, trainers and prices for search services.
Online Learning and course completion
  • Online Learning setup — What the Online Learning add-on is, where the Content tab is, and how long students can open lessons.
  • Build your program content — Add modules and text, video, file and link lessons on a program's Content tab, and preview them as a student.
  • Free lesson previews — Offer selected lessons on the public program page so visitors can preview them before they register.
  • Student logins for online lessons — Give each student their own login for programs that have lessons, and resend the password invitation.
  • My learning and student progress — Students open lessons from My learning, mark them complete, and parents see progress without the lesson content.
  • Lesson release schedule — Unlock modules and lessons immediately, a number of days after the session starts, or on a fixed date.
  • Lesson quizzes and practice exams — Build a question bank, attach quizzes to lessons, require a pass to continue, and offer random practice exams.
  • Assignments — Collect homework on an assignment lesson, set a due date, and grade submissions from Needs grading.
  • Announcements and lesson questions — Post course announcements and answer questions under a lesson, with peer replies off unless you turn them on.
  • Certificates and transcripts — Issue a certificate from attendance, a completion mark, or finished online lessons, with optional CEU or PDH credits.
  • Grades and progress reports — See quiz, assignment, lesson and attendance scores for a session, set weights, and let families view their grades.
  • Memberships for online courses — Let an active membership unlock all online courses, or selected categories, from My learning.
  • Course bundles — Sell two or more programs at one price. The buyer picks a session for each course at checkout.
  • Import a course from Moodle — Copy Moodle sections, pages, files, assignments and student enrolments into an Educatify program.
