Promotions lower what a customer pays for course registrations. There are two kinds: a promo code the customer types at checkout, and an automatic discount that applies by itself when its rules are met, such as registering early or signing up a second child.
How to get there
Open Educatify → Promotions. Click Add a Promotion, or the edit icon on an existing one.
Fields
| Field | What it does |
|---|---|
| Title (required) | The promotion's name. |
| Code | What the customer types in the promotion code box at checkout. |
| Amount and Discount Type (required) | The discount, in dollars ($) or as a percentage (%). |
| Start Date / End Date | When the promotion is available. Leave the end date empty for a promotion that never expires. |
| Days before program session | For automatic promotions: applies when someone registers at least this many days before the session starts. Use it for early-registration discounts. |
| Auto Apply | Tick Apply Automatically for a discount that needs no code. |
| Minimum Count | The minimum number of students registering together. Use this for a group promotion: 2 means two or more people on the same registration. Each student in each session counts, so one person in two sessions counts as two. |
| Minimum Amount | The minimum registration total. |
| Student ordinal / Student ordinal max | Sibling pricing: applies to the Nth student in the registration (2 = second child). Leave the maximum empty for "this child and every one after", or set it to cover a range (for example 2 to 3). |
| Description | Notes about the offer. |
Set up a promo code
- Enter a Title, a Code and the Amount with its Discount Type.
- Set the dates the code is valid, and leave Auto Apply unticked.
- Click Save and share the code with your customers.
When a customer enters the code at checkout, the discount is applied to their registration.
Set up an automatic discount
Tick Apply Automatically and set at least one of these rules:
- Early registration: fill in Days before program session, for example 30 for "register 30 days ahead and save".
- Sibling discount: fill in Student ordinal, for example 2 for "second child and beyond".
An automatic promotion can apply with or without an early-registration or sibling rule. Minimum Count, Minimum Amount and the dates restrict eligibility. Each session line receives the largest eligible automatic discount.
Set up a group promotion
Use Minimum Count when the discount should apply only if several students register together on the same checkout. This is the group-size rule: it is a minimum, not a range. There is no maximum-count field.
A group-only offer ("two or more people get a discount," with no early-registration or sibling rule) works as a promo code with Minimum Count set. Ticking Apply Automatically with only Minimum Count is not enough.
Sample: 10% off for groups of two or more
- Click Add a Promotion.
- Title: Group Discount 2+
- Code: GROUP2 (share this with customers or staff)
- Amount: 10 and Discount Type: %
- Minimum Count: 2
- Leave Apply Automatically unticked. Leave start and end dates empty if the offer should stay available.
- Click Save.
At checkout the customer adds at least two students and types GROUP2. One student with the same code should not get the discount. Two or more should see 10% off.
For a higher rate on a larger group, add another promotion. Example: Title Group Discount 3+, Code GROUP3, Amount 15%, Minimum Count 3. Give the customer the code that matches their group size. GROUP3 still applies to four or more people, because 3 means three or more.
For an automatic group discount, tick Apply Automatically and set Minimum Count. Add an early-registration or sibling rule only when that should also restrict the offer.
Tips
- A typed code must meet its dates, minimums and any days-before rule. Codes for sibling-ordinal promotions cannot be used as ordinary promo codes. A code replaces automatic discounts only when it saves more.
- Sibling ordinals count distinct students: one child in two sessions is still one child. Minimum Count counts student/session lines, so check both rules on multi-session registrations.
- After saving, try a test registration on your website to see the discount before you advertise it.
