Everyone who registers with you gets an account on your website. There they can check what they have registered for, print receipts and pay any balance themselves, without calling your office. This article walks through what they see, so you can help them when they ask.
Signing in
- An account is created automatically the first time someone registers, using the email they entered.
- They sign in with that email and their password on your website's sign-in page (at /account/signin on your website).
- If they registered without choosing a password, or forgot it, they click Forgot Password? on the sign-in page and follow the emailed link. You can also set a password for them in Clients.
Their account menu includes Courses and Students, plus Profile and Trusted Devices. If a customer who is not signed in opens one of these pages, they are asked to sign in first. If your website does not have a My Account link in its menu yet, ask us to add one.
Courses
Each student's schedule includes dates, days and times, location and trainers. Confirmed online bookings also show meeting links and joining instructions. Customers can add classes to their calendar or subscribe to their private booking calendar. Attendance appears when class dates and marks have been recorded.
The Courses page (at /account/sc/courses on your website) lists the customer's course registrations. Each registration shows:
| Item | What the customer sees |
|---|---|
| Registration number and status | For example Pending or Confirmed, as set in your Registrations screen. |
| Date | When they registered. |
| Programs | Each program on the registration, with its start date. |
| Balance due | Shown in red when money is still owed. |
| Receipt | Opens a printable receipt for the registration, with the payments made and any balance. |
| Pay balance | Shown when there is a balance and the registration is not Cancelled or Archived. |
Paying a balance
- The customer clicks Pay balance on the registration.
- They pay by card through your payment gateway. The amount always comes from the registration; they cannot change it.
- The payment is added to the registration's Payments in your admin, a receipt is emailed, and your team is notified.
- If a Pending registration is now paid in full, it becomes Confirmed automatically.
Students
The Students page (at /account/sc/students on your website) lists the students on the customer's account, for example each of their children. Students are added when the customer registers them for a course. Customers cannot add or remove students here; you can do that for them in Clients.
What you control
- Online payment: Pay balance charges cards through the primary gateway you set up under APIs → Payment Gateways. Without a connected gateway, customers cannot pay online.
- Balances: when a customer pays you by cash or cheque, record it with Add Payment on the registration. Their balance drops straight away and Pay balance disappears once nothing is owed.
- Status: the status customers see is the one you set in Registrations.
- Access: in Clients you can set a customer's password, fix their students, or untick Enabled to stop them signing in.
Partner institutes
Organizations you set up as affiliate institutes sign in on the same page but get a separate partner portal for booking their own students. See Affiliate institutes (partner portal), and Partner portal guide for affiliate institutes for what partners see.
Common questions
- Can customers see other people's registrations? No. Customers only ever see their own registrations and students.
- Can customers cancel or change a registration online? They can request cancellation of the whole registration or one student booking, with a reason, when your cancellation policy allows it. Your team reviews the request before any seats are released. No refund is issued automatically. Other changes go through your team.
- A customer says they paid, but the balance still shows. If they paid on a separate checkout page and closed it before coming back to your site, the payment may not show straight away. Check your payment gateway, and record the payment on the registration if needed.
