Trainer sign-in

Educatify Educatify Help

Invite a trainer to sign in, see their sessions, and mark attendance without seeing payments.

A trainer can sign in to see the sessions they teach and take attendance. They do not see payments or registration totals.

Invite a trainer

  1. Open Trainers and save the trainer's name and biography.
  2. Enter their invitation email and choose Invite to sign in.
  3. Use an email that is not already a staff or client login. The address can be up to 50 characters.

The invitation lets the trainer set a password within 15 minutes. If it expires, they can use Forgot password on the sign-in page. Assign the trainer to each course they teach.

If the editor says the invitation email could not be sent, access has still been granted. Check the trainer invitation template and your email settings, then invite again. You can edit that template with your other email templates.

What the trainer sees

After signing in, My sessions shows sessions for those courses. Choose Roster and attendance to see student names and scheduled class dates. Open a date, select Present, Late, Absent or Excused, then Save attendance. Mark all present marks and saves only students who have no mark yet. Cancelled classes cannot be marked.

If someone else saved the same attendance, reload before trying again. Staff notes stay private. A trainer cannot clear a mark that has a staff note; your team must clear it.

Rosters show names by default. In Settings → Attendance, turn on Show client email and phone to assigned trainers only if you want trainers to see those details.

Stop access

Choose Revoke access on the trainer record. This keeps the biography, course assignments and attendance history, and stops sign-in immediately. Invite again to restore access. Revoke first if the invitation email needs changing.
