Automated emails send a series of messages after a booking, or before and after a session, without you mailing each person by hand.
Create a sequence
- Open Settings → Automated emails (or the Manage automated emails link at the top of Settings).
- Give the sequence a title and choose when it starts.
- Add the emails in order. Choose a template for each step and the delay after the trigger or the previous step.
- For a before-session or after-session sequence, also enter the hours before the session starts or after it ends.
Mark promotional steps as Marketing so they honour email opt-outs. Booking confirmations and session reminders are transactional: someone who unsubscribes from marketing still receives those. Marketing recipients can use the preference link in the email to unsubscribe.
Turn a sequence on
New sequences start disabled. Enable one only after you have checked its templates and timing. Ask Net3000 to turn on the background sender after you are ready. Only bookings created since the sequence was last enabled are enrolled. Existing bookings, and bookings made while it was disabled, are not mailed in a batch.
A step is marked Skipped when its moment has already passed, for example a reminder due before a session that has already started, or a step more than 48 hours overdue. Later steps still send at their own time.
See what was sent
Open a registration's Email timeline to see its scheduled steps, status and attempt count. Cancelled bookings, removed sessions and disabled sequences stop pending emails. Moving a session date moves unsent session reminders. Turning a sequence back on does not restart bookings that already stopped.
Once bookings are enrolled, create a new sequence if you need a different trigger or different steps. You can still rename or disable the existing sequence.
Templates can use the customer's first name, the student, course, session, location, trainer, a link to their account, a calendar link, meeting details and an unsubscribe link. Joining details are included only for confirmed bookings. Review invitations stay in Course Reviews settings.
