Partner portal guide for affiliate institutes

Educatify Educatify Help

For partner institutes: how to set up your login, register your own students onto a training provider's scheduled sessions, edit a student name, and cancel a booking from the partner portal.

Your training provider has given your organization access to a partner portal. From it you register your own students onto the provider’s scheduled sessions, and you see every booking your institute has made — and only yours.

Bookings made in the portal are recorded at $0. No card is taken and no invoice is produced at the moment of booking; billing is handled offline under your partner agreement with the provider.

1. Set up your login

You will receive an invitation email from the training provider.

  1. Open the invitation and click the link to create your password. The link works once and expires 15 minutes after the email is sent. If it has expired, ask your contact at the provider to send a new invitation — nothing is lost by asking again.
  2. Choose a password. You will be told if it is too weak; a mix of upper and lower case letters, a number and a symbol will pass.
  3. Sign in with your email address and the password you just set, using the sign-in address shown in your invitation email.

After signing in, open Affiliate Registrations from your account menu. Use New Partner Registration to make a booking. If these links are missing, ask your training provider to check your partner access and website setup.

2. Your dashboard

The dashboard is headed by your institute name and lists every registration your institute has made, newest first. Each card shows:

Registration number
Quote this if you need to email the provider about a booking.
Status
Pending until the provider confirms it, then Confirmed. Cancelled if it has been cancelled.
Student
The student booked on that registration.
Course code and Program
What they are booked onto.
Session date
The start date of the session.
Registered
The date you submitted the booking.

The Search box above the list matches a student name, a registration number, a course code, a program title, or a status — so typing Confirmed narrows the list to confirmed bookings.

3. Register students

  1. Click New Registration.
  2. Under Look up session, type at least two characters of the course code or the program title. Only sessions that are still open for registration and have not started yet are offered. Pick the one you want from the results; the date and location are shown so you can tell repeat runs apart. Use Change session if you picked the wrong one.
  3. Click Add student and fill in first name, last name and email address — all three are required. Phone is optional. Repeat for every student going on that session.
  4. To book a second session in the same visit, click Add another session and repeat. Each session block becomes its own separate registration.
  5. Click Create registration(s) and confirm.

Why each student needs their own email address: the confirmation email goes to the address you enter, so each student gets their own joining details. Reusing one address for several students means only that address is notified.

When the booking goes through you are returned to the dashboard and the new registrations appear at the top with the status Pending. Three emails go out: one confirmation to each student, one to you as the person who submitted it, and one to the training provider’s staff.

If one of several session blocks fails — for example the session filled up while you were typing — the ones that succeeded are kept and the failed block stays on screen with the reason, so you can fix just that one and submit again.

4. Correct a student’s name

Click Edit student on a registration card, correct the first and last name, and save. This is for fixing spelling — it is not a way to hand a seat to a different person.

Edit student only works when the registration holds a single student. If you booked several students onto one session in one go, the portal will tell you to cancel and rebook instead.

5. Cancel a booking

Click Cancel on the registration card and confirm. The registration is marked Cancelled and the provider sees the change. You cannot un-cancel from the portal — if you cancelled by mistake, contact the provider or simply book the student again.

What the portal does not do

  • You cannot see bookings made by other partner institutes, or by members of the public.
  • You cannot change a session date, price, or move a student between sessions — cancel and rebook instead.
  • You cannot confirm or archive a registration. Confirming is the training provider’s step.
  • You cannot delete a registration; cancelling is the equivalent.

If something is not working

The link in my invitation says it is no longer valid
It expired (15 minutes) or was already used. Ask your contact at the provider for a fresh invitation.
I am signed in but the portal says access is denied
Your institute’s access has been suspended, or your user has been taken off the institute. Contact the training provider.
My session is not in the lookup results
Sessions that have already started, or that the provider has closed to registration, are not offered. Ask the provider whether another run is scheduled.
I need a colleague added
Ask the provider to add them — each person gets their own login on your institute, and everyone on the institute sees the same registrations.
