Course Browsing and Registration Guide

Educatify Educatify Help

How customers browse courses and register: multi-course and multi-student carts, choosing which address, guardian, emergency contact and health card details to collect, payment options, and automatic confirmation on online payment.

Educatify gives your website a complete course catalog, cart and registration checkout. Prospective students and parents can browse programs, enroll several students in several courses in a single checkout, provide the student and emergency information you require, and pay online or offline.

1. Course browsing and selection

Visitors explore your offerings through the course pages embedded on your website:

  • Categories and course catalogs: Browse offerings organized by department, grade level or category.
  • Search and filter: Search by keyword, program title, course code, instructor or your own course attributes.
  • Sessions and schedule: Each course shows its scheduled sessions with start and end dates, location, seat availability and pricing, including any active early-bird discounts.

2. Multi-course and multi-student registration cart

The checkout is built for family and group enrollments:

  • Several courses and sessions: Customers can add different courses and session dates to their cart before checking out, combining them into one registration.
  • Several students at once: Within each selected session, customers can add more than one student (for example siblings or team members). For each student, the checkout records the first and last name, calculates the line total and any promotional discount, and reserves a seat.
  • The cart is kept: The cart is saved in the customer's browser, so they can move between catalog pages without losing the sessions they selected.

3. Choose what information to collect

Choose which details the registration asks for under Catalog Setup → Settings → Registration Requirements:

  • Request applicant address:
    • When turned on, the checkout collects street address, city, country, postal code and province or state.
    • Required for tax: if your account has tax rates set up (GST, HST, PST), this option is turned on and locked, because country and province or state are needed to calculate tax on course fees.
  • Request guardian information for applications:
    • When turned on, the registration asks for parent or guardian contact information.
  • Request Emergency Contacts:
    • When turned on, the registration asks for emergency contact names, relationships and phone numbers.
    • When turned off, the emergency contacts section is left out of the registration.
  • Request health card details (name/email):
    • When turned on, the registration includes the student health card details section.
    • When turned off, that section is left out.

4. Payment options and gateways

The payment options shown at checkout depend on your choices under Catalog Setup → Settings → Payment Options, and on the primary gateway set up on the Payment Gateways page (under APIs, also linked from the Online option):

  • Cash: Shows your cash payment instructions for in-person payments.
  • Check: Shows your check mailing and payee instructions.
  • Online: Card checkout through your primary payment gateway (for example Stripe, Moneris, Square or PayPal).
  • How checkout presents them:
    • If only one payment method is turned on (for example Online only), it is selected automatically.
    • If several are turned on, the customer chooses one at checkout.
    • When Online is chosen, secure card fields appear directly on the payment step.

5. Automatic confirmation on online payment

When a customer completes registration, confirmation depends on how they paid:

  • Paid online (Confirmed):
    • When the card payment goes through, the registration is immediately marked as Confirmed.
    • A payment is recorded with the payment date, amount, payment gateway and the gateway's transaction number.
    • You can see it in the Payments section of the registration under Registrations.
  • Cash or check (Pending):
    • Registrations with money owing and cash or check selected are created as Pending. A public registration whose final total is zero is confirmed immediately, including a 100 percent promotion.
    • Your team can review pending registrations, confirm them, or record the payment when it arrives.
  • Emails: In both cases, a confirmation email goes to the customer and a notification goes to your school's administrators.
