A program is a course, class or workshop you offer. Each program has one or more sessions: a specific run of it with its own dates, location and price. Customers register for a session.
If you call them something else, for example "courses" or "classes", change the Program label in Catalog Setup → Settings.
How to get there
Open Educatify → Programs.
The program list
| Section | What it lists |
|---|---|
| Active Programs | Programs with at least one session that ends in the future. |
| Open Date Programs | Programs with at least one session that has no end date (ongoing, join-any-time sessions). |
| Program Archive | Programs whose sessions have all ended, and programs with no sessions yet. |
Each row shows the title, code, next session and number of registrations. Use Search programs or the filter button to show only programs taught by certain trainers.
A new program shows under Program Archive until you add a session that ends in the future.

Add a session
On the Sessions tab, click Add Session. The window has three tabs:
- Details: choose a Location for an in-person session, or tick Online session (no physical location). Online sessions can include a meeting link, passcode and joining instructions, shown privately to confirmed customers. Set the session Status and optional Description.
- Schedule: set Registration Opens At, Start Date and End Date. For a weekly class, use Repeats weekly on these days and choose weekdays and times to generate class dates within the session. Open-date sessions have no end date.
- Pricing: the Price per student, the Limit (number of seats), and Early Bird Discounts.
Early Bird Discounts: click Add Tier and enter Days Before Start and a Price. That price is used when someone registers at least that many days before the session starts. You can add several tiers, for example 60 days and 30 days. Make sure each early-bird price is lower than the regular price; the system does not check this for you.
Fees and add-ons
On the Fees tab, click Add Fee and enter a Title and Amount. Choose the Scope: Per student, or Per registration (family) for a charge made once however many students register. Mandatory fees are added at checkout automatically. Tick Optional add-on to offer the fee as a checkbox the customer can choose. Tick Taxable if tax applies, and use Sort order to set the order fees are listed.
Tips
- Educatify checks capacity when a registration is saved. Set the session's Limit to control seats, and enable a waitlist if you want customers to queue when it is full.
- Saving a session preserves its selected status. Use Hidden or Sold Out deliberately to control availability.
- To stop taking registrations without deleting anything, set the program status to Hidden.
