Promotions reduce a registrant's course total when the conditions you set are met. This article is the detailed companion to Promotions: it explains each field and exactly when a discount is applied at checkout.
Two kinds of promotion
- Promo code: the customer types a code in the promotion code box at checkout.
- Automatic: tick Apply Automatically for a discount that needs no code. Add an early-registration or sibling rule only if that restriction is part of your offer.
Create or open a promotion
- Open Educatify → Promotions. If you have no promotions yet, you are taken straight to the create form; otherwise click Add a Promotion, or the edit icon on an existing one.
- Fill in the fields below, then click Save. You can return later to adjust dates, amounts or rules.
Field reference
| Field | What it does |
|---|---|
| Title (required) | The promotion's name, shown in your promotions list. |
| Code | What the customer types in the promotion code box at checkout. Codes are not case-sensitive. Leave it empty on automatic promotions (see How a promo code is applied below). |
| Amount and Discount Type (required) | The discount value: $ for a fixed dollar amount or % for a percentage. A discount never takes a price below zero. |
| Start Date / End Date | When the promotion is available. Leave the start date empty to make it available right away, and the end date empty for a promotion that never expires. |
| Days before program session | For automatic promotions: applies when someone registers at least this many days before the session starts. For example, 30 means registering 30 or more days ahead qualifies; registering 10 days before the session does not. Leave it empty if you are not offering an early-registration discount. |
| Auto Apply | Tick Apply Automatically for a discount that needs no code. Dates, minimums and any early-registration or sibling rules determine eligibility. |
| Minimum Count | The minimum number of students registering together. Use this for a group promotion (2 = two or more people on the same checkout). Each student in each session counts, so one child in two sessions counts as two. There is no maximum-count field: 3 means three or more. Leave empty if not used. |
| Minimum Amount | The minimum registration total, before promotions, for the promotion to apply. Leave empty if not used. |
| Student ordinal / Student ordinal max | Sibling pricing: applies to the Nth student in the registration (2 = second child). Leave the maximum empty for "this child and every one after", or set it to cover a range (for example 2 to 3). When a student ordinal is set, Days before program session is ignored for that promotion. |

How an automatic promotion is applied
At checkout, every automatic promotion is checked against its dates, Minimum Count and Minimum Amount. Promotions that pass are then applied per student, per session:
- Early registration: if the session starts at least Days before program session days from today, the promotion qualifies. When more than one early-registration promotion fits, the customer gets the biggest discount. Sessions that have already started do not get an early-registration discount.
- Sibling discount: students are numbered in the registration, and a promotion with a matching Student ordinal range qualifies. The sibling discount replaces the early-registration discount only when it is bigger.
Each student in each session receives at most one automatic promotion, never two stacked together.
How a promo code is applied
- A typed code checks its dates, Minimum Count, Minimum Amount and any Days before program session rule. A sibling-ordinal promotion's code cannot be used as an ordinary promo code.
- A percentage code is compared with the automatic discounts already calculated. It is used only when the code saves more across the registration.
- A fixed-dollar code is taken off once across the registration, allocated from the most expensive lines. It replaces automatic discounts only when it saves more; it is not added on top of them.
- The customer sees a message at checkout: the code was applied, the code is invalid or not eligible, or the code is valid but does not improve their current discounts.
Group promotions (Minimum Count)
Minimum Count is the group-size rule. Checkout counts how many students are on the registration (each student in each session counts as one) and the promotion applies only when that count is at least the number you set.
Automatic promotions can apply without an early-registration or sibling rule. Dates, Minimum Count and Minimum Amount still limit eligibility. Set a days-before rule for early registration, or a student ordinal range for sibling pricing.
Sample: 10% off when two or more register together
| Field | Value |
|---|---|
| Title | Group Discount 2+ |
| Code | GROUP2 |
| Amount / Discount Type | 10 / % |
| Minimum Count | 2 |
| Apply Automatically | Off |
| Start Date / End Date | Empty (always available) |
- Save the promotion and share the code GROUP2.
- Test with one student and the code: the discount should not apply (the group is too small).
- Test with two students in the same registration and the code: both session lines should get 10% off.
Sample: a higher rate for a larger group
Create a second promotion if three or more people should get more off, for example 15%:
| Field | Value |
|---|---|
| Title | Group Discount 3+ |
| Code | GROUP3 |
| Amount / Discount Type | 15 / % |
| Minimum Count | 3 |
| Apply Automatically | Off |
Give the customer the code that matches their group. GROUP3 applies to three, four or twenty people. It does not stop at eight, because there is no maximum count. If someone with eight people types GROUP2 instead, they get 10%, not 15%.
Minimum Count on an automatic early-registration promotion works the same as a gate: register 30 days ahead and bring at least two students, for example. That is not a substitute for the GROUP2-style code above.
After you save
Try a test registration on your website before you advertise the offer. Confirm the discount appears when the dates, code and minimums line up, and that it does not apply when a condition is not met.
