Hajj Companion Portal & Document Management

Almotawif Almotawif Help

Guide to the Almotawif Hajj companion: pilgrim sign-up, passport, visa and Nusuk document collection and review, package selection, Telegram and webinar links, video guides, support requests and broadcast audiences.

Under current Ministry of Hajj rules, official package sales and payments are processed directly through the Saudi government's Nusuk Hajj platform. Almotawif provides a Hajj companion portal so your agency can register prospective pilgrims, guide them through Nusuk, securely collect their travel documents, share educational videos and webinar links, and coordinate group logistics.

Key features

  • Simple sign-up: A Hajj registration page on your website where prospective pilgrims sign up with basic contact details, with no payment on your site.
  • Document upload and review: Pilgrims securely upload their passport, residence visa (when needed) and Nusuk booking proof for your staff to review.
  • Education and live sessions: Video guides in several languages, plus Telegram group and webinar links for the season and for each package.
  • Support requests: Pilgrims can send categorized help requests from the portal.
  • Broadcasts: Email announcements to everyone registered for a season, or only to pilgrims on specific packages.

How pilgrims use the Hajj companion

  1. Sign-up: Prospective pilgrims open the Hajj registration page on your website and enter their first name, last name, email and phone number.
  2. Account activation: They receive a welcome email with a link to set their password, then sign in to the Hajj companion in their client portal.
  3. Traveler details: On the Travelers tab, the pilgrim clicks Edit details to set their Nationality and Country of departure, as well as age group, language and gender. Everyone on the booking is listed there.
  4. Documents: Clicking Documents opens the upload window. Documents are uploaded for the main traveler:
    • Passport: A clear scan or photo of the passport information page.
    • Residence visa: Required automatically when the country of departure differs from the nationality.
    • Nusuk booking proof: A screenshot or PDF confirming their booking on Nusuk.
    • Flight ticket: Optional.
  5. Package selection: After uploading their Nusuk proof, pilgrims choose their Nusuk package on the Package tab and click Save package. Choosing a package shows that package's Telegram and webinar links. If your office has already assigned a package, the pilgrim cannot change it.
  6. Telegram, webinars and guides: The Telegram & webinars tab lists the season links and, once a package is chosen, the package links. The Guides tab shows video guides, filtered by language.
  7. Help requests: On the Help tab, pilgrims pick a category (Rooming, Airline, Documents, General or Other), write their question and click Send. Your office receives it by email and the pilgrim gets a confirmation.

How agency staff manage Hajj seasons and travelers

Open Packages → Hajj and click Manage Hajj seasons (also linked from your Almotawif dashboard), then click New season or open an existing one.

1. Setting up the Hajj season

  • Settings tab: Enter the title, the Gregorian and Hijri years (for example 2026 / 1447) and the booking close date. Tick your Hajj service providers; their Nusuk Hajj packages become the packages pilgrims can choose from. Tick Allow travelers to sign up for this season to open registration, then click Save season.
  • Telegram links tab: Add titled links, such as Telegram groups or webinar links. Campaign links are shown to everyone in the season; Package links are shown only after a pilgrim selects that package.
  • Welcome email tab: Customize the email sent when someone signs up. Until you save your own version, the standard welcome email is used, and you can go back to it with Restore default.

2. Reviewing traveler documents

On the season's Travelers tab:

  • Review registered pilgrims with their nationality, country of departure and document status. Missing documents are highlighted, and a pilgrim with everything uploaded shows Complete.
  • Click Download to open an uploaded passport, visa or Nusuk proof.
  • If a document is illegible or expired, click Flag resubmit and add a note. The pilgrim is emailed right away asking them to upload it again.
  • Use the Package list on a traveler's row to assign their package yourself.

3. Broadcasting announcements to pilgrims

  • Click Broadcast audiences on the Hajj Seasons list and create an audience for the season, optionally limited to specific packages.
  • Each audience is linked to a mailing list. When you send a campaign to that list, the recipients are recalculated from your current Hajj registrations, so new sign-ups are included automatically.

4. Managing video guides

  • Almotawif includes a shared library of Hajj video guides in several languages, including English, Arabic, French and Urdu.
  • On the season's Guides tab, add your own videos (title, language and YouTube or other link). Click Hide on any shared video that does not apply to your group, or tick Don't show shared guides on the website to show only your own.
