Almotawif Overview

Almotawif Almotawif Help

What Almotawif does for your Hajj, Umrah or tour agency, what each menu item is for, and the first steps to get your packages online.

Almotawif is your agency's system for Hajj, Umrah and tour travel. You build packages with departure dates, hotels, room prices, itineraries, flights and add-on services; your website shows them to travelers and takes bookings; and your staff manage every reservation and traveler from one admin area.

How to get there

Select Almotawif from your admin applications menu. It opens on a dashboard, and the Almotawif menu gives you the screens listed below.

The dashboard

Click the tabs to switch between Recent Reservations, Recent Packages and Recent Clients. Each tab has a View All link. You can also start a new package with Add New Package or add a traveler with Add New Client.

Getting started

  1. Set your currency and exchange rate in Almotawif Configuration (see below).
  2. Add the services you sell under Services & Transportation.
  3. Create a category under Categories for each list you want on your website, for example "Ramadan Umrah" or "Turkey Tours".
  4. Create a package under Packages > Umra or Packages > Tours. Give it at least one future departure and a price, and tick its category. It then appears on your website.
  5. If you offer build-your-own Umrah trips, add hotel costs under Hotel Rates.

Almotawif Configuration

Open Settings from your account menu. In the list of applications, click Almotawif (or its gear icon). The page has two tabs:

  • Settings
    • Your currency — the currency your prices are shown in.
    • 1 Saudi Riyal = — the exchange rate used to convert hotel rates you enter in Saudi riyals.
    • Commission Rates — an amount per adult, child or infant that is added on top of hotel rates when a build-your-own Umrah trip is priced.
    • Accept Online Payment — lets travelers pay by card when they book on your website. Payments go through your primary payment gateway, which you set up under Payment Gateways.
  • Preferred Hotels — hotels you want to feature. See Hotels.

Your travelers and partners

  • Travelers sign in to a self-service portal on your website to see their bookings, keep passenger details up to date, read your briefing instructions and message your staff. See Traveler Self-Service Portal.
  • Partner organizations can book groups through their own portal. See Affiliate Partner Portal.
  • Hajj pilgrims register, upload documents and follow your guidance through the Hajj companion. See Hajj Companion Portal & Document Management.

Tips

  • A package only shows on your website when it has a future departure, isn't hidden, and belongs to a category of the same type.
  • Umrah packages with Ramadan dates or a "Ramadan" category can also appear in Ramadan listings. See Show Umra packages in Ramadan on almotawif.com.
