Storefront3000 Storefront3000 Help

Find, create and manage orders and quotes in Storefront3000: the order list and filters, the Create an Order wizard, editing an order, order statuses, printing and shipping labels.

Every order placed on your website lands in Orders, along with quote requests and orders you enter yourself. From here you follow each order through to delivery.

How to get there

Open Storefront3000 and click Orders in the menu.

The order list

  • The list opens filtered to Pending orders. Change Search By Status to All to see everything, or pick Paid, Fullfilled or Canceled.
  • Type an order number, or a client's name or email, in Search Orders and click Search.
  • Click a column heading (#, Date, First Name, Last Name, Email, Phone, Total) to sort.
  • Each row has a Print button (a printable copy of the order), Delete and Edit. Tick several rows to use Delete Selected.

Quotes

An order becomes a quote when a product in it has no price, or when a shopper outside your service area sends a request. Quotes show in the order list, and the Quotes tile on the Storefront3000 dashboard opens a list of quotes only. Open a quote to add prices and change its status.

Create an order for a customer

Use this for phone orders, in-store sales or turning a quote into a sale. Click New Order and follow the steps:

  1. Client: search for the client by name or email.
  2. Products: search by product name or SKU (type at least 2 characters), pick an option if the product has one, and set the quantity. Out-of-stock products are flagged.
  3. Shipping: enter the shipping address and choose a shipping option. You can also apply a promo code here. This step is skipped when nothing in the order ships.
  4. Review: check the totals, choose the Payment Method (Cash, Cheque, Purchase Order with a PO number, or Complimentary/Waived) and add any Order Notes.
  5. Confirmation: you get the order number, a View Order button and View Public Invoice, a branded invoice page you can send to the customer.

The customer gets the same order email as a web order. If the email can't be sent, the confirmation step tells you so you can contact the customer yourself.

Working on an order

Click an order number or Edit to open it. On the order page you can:

  • Change the Client and the Status.
  • Check the shipping and billing addresses, or choose a different saved address for the client.
  • Review the Order Items, remove a line, and read any Client Special Requirements.
  • See the sub total, discount, shipping, each tax and the total, and apply a Promotion Code.
  • Click Save when you're done.

Shipping labels

If a shipping carrier is connected to your account, the Shipment & Label box on the order page lets you buy a label:

  1. Click Get rates.
  2. Choose a Service tier.
  3. Click Generate Shipping Label. The carrier, service and tracking number are saved on the order.
  4. Click View / print label to print it.

No label to buy here? Choose the Carrier and type the Tracking number yourself. Once both are saved, the customer gets one shipping update email with a tracking link, and the tracking number shows on the order in their order history. Marking the order Fullfilled also sends the update if it hasn't gone out yet.

Order statuses

StatusUse it for
PendingNew orders not yet paid or confirmed.
PaidPayment received. Counts toward sales and reserves stock.
FullfilledPacked and shipped or handed over. Counts toward sales.
RefundYou refunded the payment in your payment provider's dashboard. No longer counts toward sales or stock.
Quote SentA quote you have priced and sent to the customer. Requests from shoppers outside your service area also start here.
CanceledThe order won't go ahead. No longer counts toward sales or stock.

The order page, the order list and your shopper's order history all show the same status.

Tips

  • You can't take a card payment or issue a refund from the order page. Shoppers can pay an outstanding balance from their account on your website (see Your customers' client portal), and refunds are done in your payment provider's dashboard.
  • Stock is not reduced when an order comes in. A product's available quantity is its stock minus the quantities on Paid and Fullfilled orders, and on new unpaid orders for a short hold (30 minutes unless you change Inventory in the store settings).
