If your email in Outlook is already set up as a POP account, you can move to the Net3000 Managed Email Server without exporting your mail or creating a new account. Update the incoming and outgoing server host (and password) on the account you already have. Your existing messages stay in Outlook, and new mail arrives from our server.
This guide applies to Outlook 2016 and newer versions (Outlook 2019, 2021, and Microsoft 365 classic Outlook).
Use this method when you are happy to keep using POP. If you want your mail synced to the server across devices (IMAP), follow Migrating Your Mail to Our Managed Email Server (Outlook) instead.
Before you begin
- Use the classic Outlook desktop app on Windows — Outlook 2016 and newer. These steps match Account Settings there.
- Confirm your account type is POP (not IMAP). In Account Settings, the Type column shows POP/SMTP for POP accounts.
- Have your new Net3000 mailbox password ready — the one we set up for your address on mailman.net3000.ca.
- Make sure DNS for your domain already points mail to Net3000 (or that we have told you it is safe to switch). Until then, leave the old host in place.
Your Net3000 Managed Email settings
- Incoming (POP): mailman.net3000.ca — port 995, SSL/TLS
- Outgoing (SMTP): mailman.net3000.ca — port 465, SSL/TLS
- User name: your full email address Password: your new Net3000 mailbox password
Update your existing POP account
Step 1. In Outlook, click File, then Account Settings, then Account Settings again.
Step 2. On the Email tab, select your existing POP account, then click Change.
Step 3. Change the Incoming mail server to mailman.net3000.ca. Change the Outgoing mail server (SMTP) to mailman.net3000.ca.
Step 4. Update the Password to your new Net3000 mailbox password. Leave the user name as your full email address (change it only if it was not already the full address).
Step 5. Click More Settings. On the Outgoing Server tab, tick My outgoing server (SMTP) requires authentication and leave Use same settings as my incoming mail server selected.
Step 6. On the Advanced tab, set:
- Incoming server (POP3): 995, and choose encryption SSL/TLS (or “This server requires an encrypted connection (SSL)”)
- Outgoing server (SMTP): 465, with encryption SSL/TLS
Click OK to close More Settings.
Step 7. Click Next (or Test Account Settings if shown). Outlook should send a test message and log in successfully. Click Finish / Close when done.
You do not need to export or import mail. Messages already in Outlook stay where they are. From now on, Outlook downloads new mail from mailman.net3000.ca and sends through our SMTP server.
