Some trips can't be priced automatically, usually because the pickup or drop-off is outside your limits. Instead of losing the booking, Limo Man saves it as a Quote. You set the price and send the customer a link where they can accept and pay.
Send a quote
- Open the reservation in Limo Man → Reservations. Quote reservations show a Quote proposal card.
- Price the trip first: add the vehicle fare and any charges in Services & Charges. The customer sees exactly these lines.
- Optionally add a Note to the customer, for example what's included.
- Click Send proposal. The customer gets an email with a link, and the send is noted on the reservation's timeline.
What the customer sees
The link opens a page with the trip, the itemized price and the total, and how long the quote is valid. They can:
- Pay in full, or pay a deposit if you take deposits, and the trip is booked.
- If you don't take online payments, accept now and arrange payment with you.
Customers with an account on your website also see the quote on the trip in their account, where they can open it or Decline it, with an optional note to you. When a customer declines, the link stops working, the note is added to the reservation's timeline, and you get an email. The reservation stays open for you to cancel or quote again.
Settings
Limo Man → Settings → Quote proposals → Proposal valid for sets how many days a quote link works.
Changing or withdrawing a quote
- Same price, sent again: the customer's existing link keeps working, with a fresh expiry date.
- New price: sending again creates a new link, and the old one stops working, so nobody can accept an outdated price.
- Changed the charges after sending? If the customer tries to accept the old link, they're asked to contact you. They're never charged a price they didn't see.
- Withdraw on the Quote proposal card stops the link working.
The customer is charged once, even if they click twice.
